How to create and share an online RSVP form
Collect event registrations with AddEvent
AddEvent lets you create an online RSVP form, collect registration details, and send confirmation and reminder emails. Share your form through a website button, an email link, a hosted RSVP landing page, or an embedded form on your website.
This guide explains how to set up your RSVP event, choose the information to collect, and share the registration form with your audience. For an overview and examples, explore our online RSVP form solution.
Which RSVP sharing method should you use?
Choose a sharing method based on where you invite people and where you want them to complete registration. You can use several methods for the same RSVP event.
| Where you invite people | Recommended method | Where they respond |
|---|---|---|
| Website or landing page | RSVP button | On the hosted RSVP landing page linked from the button. |
| Email newsletter or campaign | RSVP link | On the hosted RSVP landing page linked from the email. |
| Social media, SMS, or a direct message | RSVP landing page | On an event page hosted by AddEvent. |
| Website with registration on the page | Embeddable RSVP form | In the form embedded on your website. |
Use a hosted landing page when you want a registration page without building a website. Use an embedded form when you want visitors to respond directly on your own page.
How to create an RSVP event in AddEvent
Create an event, select its RSVP form, and configure the emails you want registrants to receive. You can create RSVP events in the dashboard, through the API, or through Zapier.
- Create an event in the AddEvent dashboard, through the AddEvent API, or through the Zapier integration.
- Enter the event title, date, time, and time zone.
- Select the default RSVP form or a custom form.
- Configure confirmation, reminder, and follow-up emails as needed.
- Choose a sharing method and test the registration process before sending invitations.
What details should you include in an RSVP event?
Enter an event title, date, and time, and set the event's time zone. Include a description, venue address or online meeting link, organizer details, and a calendar reminder where relevant.
Choose an RSVP form for the event. This determines which details people enter when responding to your invitation.
How to customize your online RSVP form
The default RSVP form requires a name and email address. Create a custom RSVP form when you need additional information or want to change the questions people see.
Custom forms support text, number, email, date, country, and state fields; radio buttons and checkboxes; and marketing consent checkboxes. They also support query-string fields and custom HTML.
The email address field is always required. You can make other fields required or optional, and save your custom form as a template to reuse across events.
Keep the form focused on the information you need to manage the event. For example, a workshop might ask for a company name or preferred session, while an in-person event might ask about dietary requirements.
How RSVP confirmation, reminder, and follow-up emails work
AddEvent can send automated emails to people who register for your RSVP event. Configure the content and timing before sharing your invitation.
- Confirmation email: sent immediately after an RSVP by default.
- Two reminder emails: sent one day and two hours before the event by default.
- Follow-up email: available after the event and disabled by default.
Enable or disable each email individually and adjust the timing of reminder and follow-up emails. Customize the content using HTML and insert information collected in your RSVP form using tags. Save email templates to reuse them for other RSVP events.
Emails use the sender name AddEvent.com and the address events@addevent.com by default. Review the available sender settings if you want to use a name and email address your audience recognizes.
A follow-up email is based on registration, not proof of attendance. Write it so it makes sense for recipients who may not have attended.
How to share your RSVP event
Share your event using a button, link, hosted landing page, or embedded form. The registration flow lets people enter the required information and choose a response such as Going, Interested, or Can't go. After completing the form, they can use the Add to Calendar option to save the event.
Add an RSVP button to your website
An RSVP button directs visitors from your website to the event's hosted RSVP landing page. Use it when you want a clear registration call to action without displaying the full form on your website.
How to install an RSVP button
- Open your RSVP event in the AddEvent app.
- Copy the RSVP button code snippet.
- Paste the code where you want the button to appear. In a website builder, use its HTML embed or custom embed option.
- Preview the page and check that the button opens the correct registration page.
Customize your RSVP button
Choose a default button design or use your own linked image to change the text, icon, colors, and language. You can also customize the RSVP landing page visitors open after selecting the button.
Add an RSVP link to an email campaign
An RSVP link takes email recipients to your hosted registration page. Use it in invitations, newsletters, and email campaigns.
How to add an RSVP link to an email
- Open your RSVP event in the AddEvent app.
- Copy the RSVP link and paste it into your email editor.
- If the editor does not preserve an image-based link, use its button block or a text link pointing to the RSVP landing page. For an HTML email template, copy the RSVP link's HTML code.
- Send a test email and check the registration link before sending your campaign.
Customize your RSVP link
Use link text such as Register for the event or RSVP now, or add the landing page URL to your own button or image. Match the design to your email while keeping the link destination intact.
Share a hosted RSVP landing page
A hosted RSVP landing page displays your event details and registration form. AddEvent creates and hosts the page for your RSVP event, so you can collect responses without building a separate website.
Share the page on social media, by SMS, or in direct messages. Visitors can review the event information, submit their response, and then add the event to their calendars.
How to share your RSVP landing page
- Open your RSVP event in the AddEvent app.
- Copy the landing page's standard link or short link.
- Paste the link into your post or message. Use the short link when space is limited.
Customize your RSVP landing page
Adjust the page's fonts, colors, language, date and time formats, and images to match your branding. HTML and CSS customization lets you make further changes to the layout and content.
Embed an RSVP form on your website
An embeddable RSVP form displays event details and registration directly on your website. Visitors can respond in the embedded form without opening the hosted RSVP landing page.
How to embed an RSVP form
- Open your RSVP event in the AddEvent app.
- Copy the embeddable RSVP form code snippet.
- Paste it where you want registration to appear. In a website builder, use its HTML embed or custom embed option.
- Preview the page and submit a test response to check the form and confirmation flow.
Customize your embedded RSVP form
Adjust the fonts, colors, language, size, and date and time formats to fit your website.
RSVP limits, reminders, and registration reporting
Review these settings before sharing your RSVP event so registration and reminders work as intended.
Can I limit the number of registrations?
Yes. Set an RSVP limit to control the number of available places for your event. No limit is set by default. When you configure a limit, you can also write a custom message to display when it is reached.
What is the difference between email reminders and calendar reminders?
Email reminders are sent by AddEvent to registrants. Calendar reminders are handled by the attendee's calendar service after they save the event.
You can configure one calendar notification per event and choose how long before the event it should occur. The calendar service and the attendee's settings determine how that reminder is handled.
How do time zones and daylight saving time work?
Set the correct time zone for your event. AddEvent supports time zones and daylight saving time rules so saved events can appear at the correct local time in attendees' calendars.
Does an RSVP automatically add the event to a calendar?
No. Submitting an RSVP and saving an event to a calendar are separate actions. After responding, attendees can use the Add to Calendar option to save the event.
An RSVP records a person's response to your invitation. A calendar save helps them remember the event. Neither action, on its own, confirms actual attendance.
What information can I collect from registrants?
AddEvent records the information people submit through your RSVP form. The default form collects a name and email address; a custom form lets you choose additional questions and required fields.
Registration reporting also includes information about when responses were submitted and associated location data. See the event analytics solution for available reporting.
Can I anonymize RSVP IP address data?
AddEvent automatically anonymizes IP addresses for users in the European Economic Area (EEA). You can also choose to anonymize this data for all users. IP address anonymization does not remove the registration details people enter in your form.
Can I receive notifications when someone RSVPs?
Yes. Choose an email notification for each new RSVP or a daily summary of new responses. These organizer notifications are separate from the confirmation and reminder emails sent to registrants.
